CG Coaching LLC Privacy Policy
Effective Date: September 2, 2026
Website: CG Coaching Client Portal
In plain language: We use personal information to provide and secure CG Coaching services. We do not sell personal information or use coaching information for targeted advertising.
CG Coaching LLC ("CG Coaching," "we," "us," or "our") provides coaching, planning, organizational support, paid questionnaires, scheduling, and related online services through our website, purchase flows, scheduling tools, and client portal (collectively, the "Services"). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you use the Services.
1. Scope and Eligibility
This Policy applies to the Services and related communications that link to it. It does not govern third-party websites or services that have their own privacy policies.
The Services are intended for individuals who are at least 18 years old and are not directed to children.
2. Information We Collect
Depending on how you use the Services, we may collect the following categories of personal information:
- Identification and contact information. Your name, email address, telephone number, mailing or account information, and other contact information you provide.
- Account and authentication information. Portal identity, login and security events, account status, access records, and information used to authenticate and protect your account.
- Coaching and planning information. Questionnaire responses, goals, preferences, routines, Planning Profile information, schedules, planning calendars, tasks, task outcomes, client updates, coaching-related communications, and information you choose to share during the coaching relationship.
- Service-delivery records. Session and entitlement information, planning context, follow-ups, service status, staff-created records, restricted internal notes, and audit information. Access may vary by staff role and authorization.
- Transaction and purchase information. Services purchased, billing selection, payment status, transaction, invoice and order identifiers, Stripe Price or offering information, discounts, refunds, disputes, and related financial records. We do not receive or store your complete payment-card number.
- Scheduling information. Appointment date and time, scheduling status, cancellation or rescheduling information, and information needed to associate a session with the correct client and purchase.
- Communications and submitted content. Support requests, emails, messages, feedback, questionnaire materials, and any files or photographs you choose to upload through available Service features.
- Technical, security, and usage information. IP address, browser and device information, timestamps, necessary cookies or local-storage identifiers, application activity, error information, and security or troubleshooting logs.
3. Sensitive Coaching and Wellbeing Information
Information you choose to provide may concern health, habits, emotional wellbeing, nutrition, exercise, sleep, routines, personal difficulties, religious or lifestyle preferences, or other private circumstances. We use this information only as reasonably necessary to provide the Services you request, support the client relationship, secure the Services, maintain appropriate records, and comply with law.
CG Coaching provides coaching and organizational support, not medical diagnosis or treatment. We do not represent that CG Coaching is a HIPAA covered entity or business associate. Please do not submit Social Security numbers, financial-account credentials, medical records, or other highly sensitive information that is not reasonably necessary for your coaching services.
We do not use sensitive coaching information for targeted advertising, and we do not sell it.
4. How We Collect Information
- Directly from you. When you complete a questionnaire or form, create or use an account, purchase a service, schedule or attend a session, communicate with us, update preferences, upload content, or otherwise provide information.
- From authorized staff. When Coaches or other authorized staff create service-delivery, planning, follow-up, security, or administrative records.
- From service providers. When payment, scheduling, hosting, authentication, communications, security, or infrastructure providers return transaction, appointment, account, delivery, or operational information needed for the Services.
- Automatically through the Services. Through necessary session technologies, logs, and similar tools used for authentication, security, reliability, and troubleshooting.
5. How We Use Personal Information
- Provide and administer questionnaires, coaching, planning, scheduling, billing, client-portal, and account services.
- Create and maintain accounts and securely connect purchases, subscriptions, appointments, entitlements, and portal access to the correct client.
- Process and verify purchases, subscriptions, renewals, discounts, refunds, and disputes, and maintain financial and audit records.
- Create, review, maintain, and deliver Planning Profiles, planning calendars, schedules, tasks, routines, follow-ups, and related coaching records.
- Allow authorized Coaches and staff to communicate with and support clients.
- Respond to support, privacy, account, service, and security requests.
- Protect the Services, enforce access controls, detect misuse, investigate incidents, troubleshoot, and improve reliability and usability.
- Maintain legal, tax, accounting, contractual, security, and business records and comply with applicable law.
6. Schedule Drafting and Human Review
CG Coaching may use questionnaire responses, preferences, Planning Profiles, task history, schedules, and related records to help authorized staff provide coaching and planning services. Current schedule-drafting tools use predefined rules and structured inputs rather than artificial intelligence that interprets arbitrary coaching notes. Drafts require authorized staff review before publication or release to a client.
7. How We Disclose Personal Information
We disclose personal information only as reasonably necessary for the purposes described in this Policy, including to:
- Authorized CG Coaching personnel. Coaches, administrators, and other personnel who need the information to perform their assigned responsibilities.
- Payment providers. Stripe processes payments, subscriptions, refunds, disputes, and related transaction information.
- Scheduling providers. Calendly or another scheduling provider may process information needed to schedule, cancel, or reschedule appointments.
- Technology providers. Supabase supports database and authentication services, and Vercel supports application hosting and delivery.
- Communications, security, and support providers. Providers that help deliver email or other communications, protect the Services, prevent abuse, troubleshoot, or provide technical support.
- Professional advisers and authorities. Attorneys, accountants, insurers, regulators, courts, or law enforcement when reasonably necessary and legally permitted.
- Business transactions. Parties involved in a financing, merger, acquisition, reorganization, or sale of business assets, subject to appropriate protections.
Service providers may process information under their own privacy notices when they act independently. We do not authorize service providers to use personal information for their own targeted advertising.
8. Payments and Subscriptions
Payments are processed through Stripe. CG Coaching receives transaction, customer, subscription, payment-status, invoice, refund, and dispute information needed to administer purchases and services, but generally does not receive or store the complete payment-card number. Stripe's privacy terms apply to information Stripe processes independently.
9. Scheduling Services
When you schedule a coaching session, Calendly or another scheduling provider may process contact and appointment information necessary to schedule, cancel, or reschedule the appointment and connect it to the appropriate CG Coaching client or order. The scheduling provider's own privacy notice may also apply.
10. Cookies and Similar Technologies
The Services use cookies, local storage, session technologies, or similar tools necessary for authentication, account functionality, security, preferences, and reliable operation. We may also use limited analytics or operational measurements to understand performance and improve the Services.
We do not use cookies to sell personal information or serve targeted advertising based on activity across unrelated websites. If we introduce materially different non-essential analytics, advertising, session-replay, heatmap, or marketing technologies, we will update this Policy and provide any notice or consent controls required by law.
11. Data Retention
We retain personal information only for as long as reasonably necessary for the purposes described in this Policy, including to provide Services, maintain client and business records, comply with legal, tax, accounting, security, contractual, and audit obligations, resolve disputes, and enforce agreements.
Retention varies by record type and is based on the duration of the client relationship, the nature and sensitivity of the information, operational need, applicable limitation periods, legal requirements, dispute or fraud-prevention needs, and backup cycles. When information is no longer reasonably required, we delete, anonymize, or securely dispose of it, subject to lawful exceptions and technical backup limitations.
12. Data Security
We use reasonable administrative, technical, and organizational safeguards designed to protect personal information against unauthorized access, use, alteration, disclosure, or destruction. Safeguards may include authentication controls, role- and assignment-based access restrictions, database security controls, encryption in transit, logging, and service-provider controls.
No method of storage or transmission is completely secure. You are responsible for safeguarding account credentials and notifying us promptly if you suspect unauthorized access.
13. No Sale or Targeted Advertising
CG Coaching does not sell personal information for money or other valuable consideration and does not process personal information for targeted advertising or profiling that produces legal or similarly significant effects. Because we do not engage in these practices, there is no separate opt-out process for them. If our practices change, we will update this Policy and provide legally required choices before the change applies.
14. Your Privacy Rights and Choices
Depending on where you live and applicable law, you may have the right to confirm whether we process your personal information; access, correct, or delete it; obtain a portable copy; withdraw consent for certain processing; or receive information about certain uses or disclosures.
To submit a privacy request, email privacy@cgcoachings.com. Please identify the request and the email address associated with your account. We may verify your identity and, where permitted, the authority of an authorized agent before responding. Rights may be subject to legal exceptions, security considerations, retention obligations, and other limitations permitted by law. We will respond within the period required by applicable law.
If we deny a request and applicable law provides an appeal right, you may appeal by emailing privacy@cgcoachings.com with the subject line "Privacy Appeal." We will explain our decision and any further complaint options required by law.
15. U.S. State Privacy Rights
Residents of certain U.S. states may have additional rights under state privacy laws. Where those laws apply, rights may include access, correction, deletion, portability, consent or withdrawal rights for certain sensitive information, and rights concerning sale, targeted advertising, or certain profiling. We do not discriminate against individuals for exercising applicable privacy rights.
This section does not claim that every state privacy law applies to CG Coaching. We nevertheless accept privacy requests through privacy@cgcoachings.com and will honor applicable rights and reasonable requests consistent with our legal and operational obligations.
16. Consumer Health Data Privacy Notice
This section describes our practices for information that may qualify as consumer health data under Washington's My Health My Data Act or similar state laws. It applies only where those laws apply.
Consumer health data we may collect
Depending on what you voluntarily provide, consumer health data may include information or inferences concerning physical or mental health, emotional wellbeing, nutrition, exercise, sleep, habits, routines, symptoms, health-related goals or preferences, and related questionnaire or coaching information.
Sources and purposes
We collect this information directly from you and from authorized staff records created while providing the Services. We use it to provide the coaching, planning, questionnaire, scheduling, support, security, and recordkeeping services you request. We do not collect or use consumer health data for unrelated purposes without obtaining any consent required by law.
Sharing and sale
We may share consumer health data with authorized CG Coaching personnel and service providers that host, secure, authenticate, support, or deliver the Services, only as reasonably necessary for those purposes. Relevant categories may include database/authentication, hosting, scheduling, communications, security, and professional-adviser providers. We do not sell consumer health data and do not share it for targeted advertising.
Consumer health data rights
Where applicable, you may request access to or deletion of consumer health data, withdraw consent for collection or sharing that relies on consent, or appeal a denied request. Submit requests or appeals to privacy@cgcoachings.com. Deletion may extend to service providers where required, subject to legal exceptions.
17. Children and Minors
The Services are intended for people age 18 and older. We do not knowingly collect personal information from children under 13 or knowingly provide the Services to minors. If we learn that personal information was collected from a child in violation of applicable law, we will take appropriate steps to delete or otherwise address it.
18. Email, Text, and Other Communications
We may send transactional or service-related communications concerning account access, appointments, purchases, subscriptions, coaching services, tasks, planning, security, privacy requests, or other aspects of the client relationship. Marketing communications, if used, will include legally required opt-out mechanisms.
Consent to promotional text messages, automated calls, or similar communications will be obtained separately where required and is not inferred solely from acceptance of this Privacy Policy.
19. International Users
CG Coaching is based in the United States, and information is processed and stored in the United States or other locations where our service providers operate. If you access the Services from outside the United States, your information may be transferred to and processed in jurisdictions with different data-protection laws. Additional rights may apply under local law.
20. Changes to This Privacy Policy
We may update this Privacy Policy to reflect changes to our practices, Services, technology, or legal obligations. The Effective Date at the top identifies the current version. When required, we will provide appropriate notice of material changes before they take effect.
